As-Built Drawings: What They Are and How to Manage Them
As-built drawings are one of the most valuable — and most neglected — documents a building will ever produce. Done well, they save owners years of guesswork. Done poorly, every future renovation, inspection, and repair starts with a scavenger hunt.
What "as-built" actually means
As-built drawings show how a building was actually constructed — not how it was originally designed. During construction, reality always diverges from the plans: a duct gets rerouted around an unexpected beam, a panel moves three feet, a wall shifts to clear a door swing. As-builts capture those field changes so the documentation matches the physical building.
They're often confused with two related terms:
- Redlines — the marked-up field set (usually literally in red) where changes are recorded as they happen.
- Record drawings — the architect's cleaned-up, often stamped version produced from those redlines.
The redlines feed the as-builts, which become the permanent record set. Lose any link in that chain and you lose the truth about the building.
Why they matter more than teams think
- Renovations and tenant fit-outs start from as-builts. Without them, you pay someone to re-survey what a drawing should already tell you.
- Maintenance and emergencies depend on knowing where the shutoff, panel, or damper actually is — at 2 a.m., not after a week of investigation.
- Compliance and inspections frequently require accurate record documentation.
- Property value and transactions improve when a buyer inherits a complete, organized record set instead of a mystery.
Why as-builts go wrong
Most as-built problems aren't about the drawings themselves — they're about handling:
- Captured on paper and never digitized
- Living on one person's laptop or in a job trailer
- No version control, so nobody knows which PDF is truly final
- Delivered at closeout as a giant, unsorted zip file
- No metadata, so "the electrical as-builts for Building C" can't be pulled up
How to keep as-builts usable
- Digitize immediately. A paper as-built in a trailer is one coffee spill from gone.
- Organize by the physical hierarchy — building, floor, then system or trade — so location maps to the folder.
- Keep versions; never overwrite. The record set needs its full lineage.
- Tag with metadata (building, floor, discipline) so drawings are searchable, not just browsable.
- Centralize access instead of emailing zips that are stale the moment they're sent.
- Plan the closeout handoff on day one, not the week before turnover.
A good test: could a facilities tech who joined last week find the current mechanical as-built for the third floor in under a minute? If not, your as-builts aren't really "managed."
Retention: think in decades
Buildings outlive the software, the staff, and often the owner who commissioned them. As-builts should be retained for the life of the asset — commonly 50 years or more. That means choosing a home for them that won't disappear when a laptop is replaced or an employee leaves, and a structure that a stranger can navigate long after the original project team is gone.
